Set up Zoom

Use this guide when your Zoom setup page shows Connect, Set up indexing, and Review setup. If it shows a single authorization form, use Previous setup.

Zoom uses separate apps for tools and recording indexing. A Glean administrator configures the tools app, and each user authorizes it with their own Zoom account. A Zoom Admin or Owner authorizes the separate Glean Search Crawler for Zoom app for indexing.

How features become available after setup

CapabilityWhen it becomes availableWhose permissions apply
Zoom toolsAfter the tools connection is configured and the tools are available to the intended users. Each user must authorize their Zoom account. The user's Zoom permissions and configured tool access
Indexed recording searchAfter Glean crawls and indexes recording transcriptsThe connector's recording permission model
Recording-access settingsConfigure them during indexing setup, or on the connector setup page afterwardThe selected V1 or V2 permission model

Connecting the tools app does not authorize the indexing app. Finish both authorizations to use tools and indexed recording search.

Set up the connector

Before you begin

  • Confirm that you have permission to add and configure connectors in Glean.
  • To create the tools OAuth app, use a Zoom account with the Owner, Admin, or Zoom for developers role.
  • For indexing, use a paid Zoom plan with cloud recording enabled. The authorizing account must have the Admin or Owner role and the View the recording and transcript content permission. The Zoom for developers role alone is not sufficient for indexing.
  • Determine your Zoom base URL, such as https://zoom.us or your organization's Zoom domain. Do not use https://marketplace.zoom.us, which is the app marketplace.
  • If you plan to use participant or organization-wide recording access, review Configure Zoom cloud recording permissions.

Step 1: Open the Zoom setup page

In the Admin console, go to Connectors → Add connector → Zoom.

Step 2: Connect Zoom tools

The Connect step requires a customer-created Zoom OAuth app. It authorizes tools, including read and write tools, not the recording crawler.

Prepare the connection in Glean

  1. Enter a name for the connector.
  2. Keep the page open so you can copy the Callback URL and the scopes listed under Add these scopes to your Zoom OAuth app.

Create the app in Zoom

  1. Sign in to the Zoom App Marketplace. Click Developer → Develop → Build an app.
  2. Select General app, then click Create.
  3. Name the app. Under Select how the app is managed, choose User-managed so each user authorizes with their own Zoom account.
  4. On Basic Info, find OAuth Information. Paste the Callback URL from Glean into OAuth redirect URL, and add the same URL under OAuth allow lists. The scheme, host, and path must match exactly.
  5. Click Scopes → Add Scopes. Add every scope listed on the Glean setup page, then click Done. Complete each Scope Description to explain how the app uses that scope.
  6. On Basic Info, copy Client ID and Client Secret from App Credentials. Use development credentials unless you have published the app. Only members of your Zoom account can authorize an unpublished app.

Use the scopes displayed in Glean rather than the read-only indexing scopes. The tools app requests read and write permissions.

Finish the connection in Glean

  1. Paste the credentials into Client ID and Client secret.
  2. Click Connect and approve access with your Zoom account.

Step 3: Set up indexing

The Set up indexing step authorizes Glean Search Crawler for Zoom. It uses a different app from the one you created for tools.

  1. Enter your Zoom Base URL, without a meeting path. Use https://zoom.us or your organization's Zoom domain, not https://marketplace.zoom.us.
  2. Optionally, turn on Only crawl recordings after a specific date and enter a date before today in yyyy-MM-dd format.
  3. If Enable enhanced access control (ACL v2) appears, configure it for the permission model you want to use. See Configure Zoom cloud recording permissions for the Zoom-side settings.
  4. Click Authorize, then open the authorization link Glean generates.
  5. In Zoom, review and approve the scopes requested by Glean Search Crawler for Zoom. Select optional scopes based on your needs.
  6. After Zoom returns you to Glean, continue to Review setup.

Start this authorization from Glean. Installing the crawler app directly from the Zoom App Marketplace does not complete the connection.

Step 4: Review setup

Review the tools connection and indexing configuration. Choose the intended User access, then click Begin indexing. Glean starts the initial crawl in the background. Recording transcripts become searchable after they are indexed.

If Skip for now is available, you can defer the crawl. This does not replace the tools and indexing authorization steps.

Manage Zoom tools

Open the connector's Tools tab to review the available tools and their access settings. Each user authorizes with their own Zoom account before using tools. Tools can access only the Zoom data that user can already access.

Read tools retrieve information. Write tools change Zoom data. Review the tools your workspace offers before making write tools available to users.

You can manage:

After setup

  • Monitor the initial crawl from the Zoom connector page in the Admin console. Initial indexing takes time, and results appear as content is indexed.
  • Search for a recording you expect to access. If it is missing, check the authorizing account's recording/transcript permission and the recording-access settings.
  • Review the Tools tab when you need to change tool availability or access.

Troubleshooting

IssueWhat to check
The tools app reports a redirect URL mismatchMatch the OAuth redirect URL and OAuth allow lists entry to the Callback URL in Glean, including the scheme, host, and path.
Tools authorization reports missing scopesAdd every scope displayed on the Glean setup page to the Zoom app's Scopes page.
Indexing validation cannot find the Zoom accountCheck Zoom Base URL. Use the account's Zoom domain, not https://marketplace.zoom.us, and authorize with an Admin or Owner account.
Recordings have no indexed transcriptConfirm cloud recording is enabled and the authorizing account has the View the recording and transcript content permission.
