The Overview tab of Insights provides a high-level view of how your organization is adopting Glean. It answers 4 key questions:
  1. What is the overall health of Glean at your company?
  2. How many users are active on Glean?
  3. What are users doing on Glean?
  4. Who are the most active users on Glean?

Defining overall health of Glean at your company

Coverage

Coverage is calculated as Signups / Employees.
It measures the % of your current total employees have signed up for Glean. Use this to understand what is the awareness about Glean within your company.

Activity

Activity is calculated as Monthly Active Users / Signups.
It measures the % of signups that are currently monthly active users on Glean. Use this to understand if your employees are able to understand Glean’s value after signing up.

Stickiness

Stickiness is calculated as Weekly Active Users / Monthly Active Users.
It measures the % of monthly active users that are also weekly active users. Use this to understandif your employees are making Glean a habit in their day to day worklives.

Measuring how many users are active on Glean

Total Employees and Signups

Employees and Signed up employees include users whose data is made available through Org Chart in Glean, provided by your admin. If there are users outside your Org Chart who have accessed Glean, they will not be counted in Employees or in Signups. This includes former employees.

Active Users

A user is defined as active if they take any one of a specific set of defined actions on Glean. This detailed list of actions that makes a user active are detailed here. Active user metrics are rolled up with monthly, weekly and daily counts:
  • Monthly Active Users measures users who were active at least once in the last 28 days.
  • Weekly Active Users measures users who were active at least once in the last 7 days.
  • Daily Active Users measures users who were active at least once in the last day.
Note: All time based metrics such as Monthly Active users do not count the present day usage when calculating the metric

Understanding what users are doing on Glean

Searches per user per week

Searches per user is calculated as Total Searches in the specific time period / Total Unique Users with at least 1 search in the specified time period
Use this to understand how frequently Search is being used by users who are already active on Search
Note: this does not include searches made using the Autocomplete feature on Glean

Chats per user per week

Chats per user is calculated as Total Chats in the specific time period / Total Unique Users with at least 1 chat in the specified time period
Use this to understand how frequently Chat is being used by users who are already active on Chat
Note: Chats only include a user-initiated chat conversation

Search SSAT

Search SSAT stands for Search Session Satisfaction. A search session is said to be satisfied if at least one of the user initiated search queries is accompanied by a corresponding click on search results. We only include sessions where a User searches something from the search bar and then clicks on the search results

All signed up users

This table shows the activity of users who have signed up for Glean in your organization.

Segmenting by Departments

You can choose the department filter dropdown to multi-select departments you want to drill down to.
Department names are directly pulled from the org chart provided by your admin.
  • We roll up all departments with <5 employees into a single department called “Departments with <5 teammates”
  • Users with no departments cannot be tied to a specific employee in the org chart, hence we cannot measure coverage or activity ratios for this department.
  • Department-based filters apply to a user’s current department mapping and do not consider any historical mappings
    • This is to avoid double counting the user across departments.`

Flexible Time Periods

The time filter dropdown allows filtering activity by predefined time ranges or by custom date ranges.

Data Retention

The Insights dashboard guarantees data availability for the last 270 days. While historical data beyond this period may be available, we cannot guarantee its persistence. Future updates and cleanup of the Insights dashboard may result in data from before the 270-day retention period being deleted. Note: This retention policy applies to all metrics and data displayed in the Insights dashboard.

FAQs

1/ What happened to the Teammates tab?

The Teammates tab has been replaced by the new Overview tab as of May 2025, which offers a more comprehensive view of Glean usage across your company. All the previous metrics are still available, along with new visualizations and deeper insights.

2/ Why were the Searches and Content tabs removed?

We’re updating Insights to give you a clearer, more actionable view of how Glean is used, and to help you spot opportunities for improvement. As part of that, we’re removing views that created confusion or offered limited value based on customer feedback, starting May 2025.
  • Searches: This tab was often mistaken for a summary of search “themes,” but it only showed exact keyword searches made by at least three unique employees. We now offer an SSAT (Search Session Satisfaction) metric that better reflects user experience and supports departmental breakdowns.
  • Content: This tab only tracked access to content via Glean’s search results, offering a narrow view. We’re introducing a new data source usage view in the Overview tab that includes both search clicks and chat citations — giving you a fuller picture of how content is used.

3/ Why were the “Actions in period” and “Last Activity” metrics removed from Insights overview?

The “Actions in period” and “Last Activity” metrics were removed from Insights as part of a broader transition to provide more actionable, accurate, and transparent usage data. This decision was based on several key considerations drawn from customer feedback: Actions in Period The previous “Actions in Period” represented a simple aggregation of all actions a user performed on the platform—whether it was a minor action like viewing an answer or a more significant one like running an agent or a chat. Each action, regardless of impact, incremented this count by one. This method proved confusing and often misleading, as it masked the true nature or value of a user’s engagement. For example, a high activity count did not necessarily mean meaningful usage; it might simply reflect frequent, low-impact interactions. In support interactions and product reviews, this aggregation was repeatedly flagged as difficult to interpret and not actionable.  To address this, we shifted our focus toward breaking out activity into separate, clearly-defined actions. This means you can now see metrics like the number of searches or chats performed per user, making it easier to understand how users are engaging in specific, impactful ways. We will continue to add granular usage data such as agents run per user. Last Activity time Similarly to Activity Count, the “Last Used” metric aimed to display the last time a user performed any tracked action. However, this metric was based on an aggregated set of possible events, leading to confusion over exactly what it represented.  Furthermore, Insights dashboards are designed for usage trends over time—not real-time tracking. Our dashboards refresh once per day for performance and consistency, so the “last activity” timestamp would not reflect up-to-the-minute usage and could be misleading in that context.

4/ Why can’t I see the new Overview tab?

The Overview tab is rolling out gradually to customers on the Google Cloud Platform (GCP) starting May 2025. If you’re not on GCP, stay tuned: we’re working to bring this view to all customers soon.

5/ Why is my employee count wrong?

We pull employee data directly from the people data uploaded by Glean admin on an account. If your employee count seems incorrect, you should check if you have accurately set up people data on the following link: https://app.glean.com/admin/setup/people (can be accessed by Glean admin only)

6/ Why was All users moved to Signed up users?

The “All users” view only includes people who have actually signed up for Glean, instead of everyone in your organization. This makes it easier for admins to see meaningful data and avoids confusion from showing users with no activity who never joined Glean. You can use the coverage metric at the top of the page (Signups / Employees) to see what percent of your total employees are included in the “All signed up users” table. Last updated: July 2025
